1. Who we are
1.1 This website (the "Site") is operated by Rapid Tech Insights Limited, a company based in Nairobi, Kenya. In this Privacy Notice, Rapid Tech Insights Limited is referred to as "Rapid Tech Insights", "RTI", "we", "us" or "our".
1.2 This notice applies to personal information processed through the Site. It does not apply to information we may process separately in the course of delivering contracted operations engineering services, which is governed by the relevant engagement agreement and any data processing terms agreed with that customer.
1.3 This notice should be read together with our Terms of Use and our Cookie Policy.
2. Information we collect
2.1 Information you provide directly. When you submit an Operations Review request, apply for a role, or otherwise email or message us, we may collect your name, work email, phone number, company, job role, country, company size, industry, a description of your operational bottleneck, the systems or tools you use, a CV or application details, and any other information you choose to include.
2.2 Information collected automatically. When you browse the Site, our hosting and security provider (Cloudflare) automatically processes limited technical data such as IP address, general location, device and browser type, pages visited and referring pages, for security and site-reliability purposes.
2.3 Analytics information. If, and only if, you accept analytics cookies through the cookie banner, we use Google Analytics to understand how visitors use the Site (for example, which pages are viewed and general usage patterns). See our Cookie Policy for the full list of cookies and how to withdraw consent at any time.
2.4 We do not knowingly collect special-category personal data (such as health, biometric or ethnicity data) through the Site, and we ask that you do not include it in any form submission or email to us unless it is directly and necessarily relevant to a role application.
3. How we use information
3.1 We use the information described in section 2 to:
- respond to Operations Review requests and other enquiries;
- assess whether and how Rapid Tech Insights can help your organisation;
- prepare for calls, discovery sessions and proposals;
- evaluate job or talent-pool applications;
- operate, secure, monitor and improve the Site, including detecting and preventing bot abuse of our forms;
- understand how the Site is used, where you have consented to analytics cookies; and
- comply with legal obligations and establish, exercise or defend legal claims.
3.2 We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects, and we do not sell personal information to third parties.
4. Legal basis for processing
4.1 Where Kenya's Data Protection Act, 2019, the EU/UK General Data Protection Regulation or similar law applies, we rely on one or more of the following legal bases, depending on context:
- Consent — for example, analytics cookies, which are only set after you accept them in the cookie banner;
- Steps taken at your request before entering a contract — for example, responding to an Operations Review request;
- Legitimate interests — for example, keeping the Site secure, preventing spam and bot submissions, and direct marketing about our services to existing business contacts, balanced against your rights and interests; and
- Legal obligation — for example, retaining records where required by law.
5. Who we share information with
5.1 We do not sell personal information. We share it only with the service providers who help us run the Site and respond to enquiries, each acting under their own terms and, where applicable, as an independent data processor or controller for their own security and compliance purposes:
- Cloudflare — website hosting, content delivery, security, bot protection (Cloudflare Turnstile) and, only with your consent, Google Analytics delivery;
- Resend — delivers Operations Review form submissions to our email inbox by email;
- Google Analytics — usage analytics, only if you accept analytics cookies; and
- professional advisers (for example, legal or accounting) and authorities, where necessary to comply with the law, enforce our rights, or protect the rights, property or safety of Rapid Tech Insights or others.
5.2 Some of these providers may process data on servers outside Kenya or your home country. Where this involves an international transfer subject to legal restrictions, we rely on the safeguards those providers make available (such as standard contractual clauses or equivalent mechanisms) to protect your information.
6. Retention
6.1 We keep personal information only for as long as reasonably necessary for the purpose it was collected, including to respond to your enquiry, maintain business records, comply with legal or tax obligations, and resolve disputes.
6.2 As a general guide: Operations Review and general enquiry records are typically retained for up to 24 months from your last contact with us, unless a longer period is required by law or an engagement proceeds; job and talent-pool applications are typically retained for up to 12 months. We may retain information for longer where necessary to comply with a legal obligation or to establish, exercise or defend legal claims.
7. Security
7.1 We apply reasonable technical and organisational measures appropriate to the sensitivity of the information involved, including relying on reputable infrastructure providers (Cloudflare) for hosting and security, and restricting access to submitted information to personnel who need it to do their jobs.
7.2 No method of transmission or storage is completely secure. Please avoid sending highly sensitive information (such as passwords, payment details or special-category data) through the Site's forms or by ordinary email; see also section 5.3 of our Terms of Use.
8. Your rights
8.1 Depending on the law that applies to you, you may have the right to:
- access a copy of the personal information we hold about you;
- correct inaccurate or incomplete information;
- request deletion of your information, subject to legal or legitimate business retention needs;
- restrict or object to certain processing, including direct marketing;
- receive certain information in a portable format; and
- withdraw consent at any time where processing is based on consent, without affecting processing carried out before withdrawal.
8.2 To exercise a right, contact us using the details in section 10. We may need to verify your identity and will respond within the timeframe required by applicable law.
8.3 If you believe we have not handled your information properly, you have the right to lodge a complaint with the Office of the Data Protection Commissioner of Kenya, or with the relevant data-protection authority in your own country.
9. Cookies and analytics
This Site uses strictly necessary cookies to operate, and loads Google Analytics only if you accept analytics cookies in the cookie banner. See our Cookie Policy for the full list of cookies, retention periods, and how to change your choice at any time — including a "Cookie Preferences" button on that page.
10. Children's information
The Site is directed at business audiences and is not intended for children. We do not knowingly collect personal information from children.
11. Changes to this notice
We may update this notice from time to time by publishing a revised version on the Site. The "Last updated" date above identifies the latest revision.
